How To Set Up Your New Email Addresses

Introduction

When we set up a new email address for you we will supply you with the email address(es) and password(s).  You can then use the address(es) with your chosen email client e.g. Gmail, Outlook, Exchange, Apple Mail etc.  

Every one of these email clients will have different methods for setting up a new email account.  However, there are certain bits of information they will all require.  The instructions that follow are therefore relatively basic but will get you started.

If you are not sure how to set any of them up, you should always be able find instructions for your particular device via Google or YouTube.      

IMAP or POP?

When setting up email you have to decide whether you want to use the POP or IMAP protocol.   The main difference between the two is that IMAP stores your emails on the server.  That way you can access them from different devices.  However, this means that, until they are fully deleted, they use up space within your allocated email account allowance.   Whereas POP downloads them from the server onto one device only.      

Most email providers only need the user name and password and will automatically find the incoming and outgoing settings, but if you have to set them up manually use the information provided below.

Settings For IMAP Secure SSL/TLS Settings

  • Account type: IMAP
  • Incoming mail server: mail.domain.com (using your actual domain name)
  • Incoming Server settings IMAP Port: 993
  • Username: Full email address
  • Password: mail account password
  • Select SSL/TLS Settings
  • Outgoing mail server: mail.domain.com (using your actual domain name)
  • Outgoing mail server: SMTP Port: 465
  • Username: Full email address
  • Password: mail account password
  • Select SSL/TLS Settings

Settings For POP3 Secure SSL/TLS Settings

  • Account type: POP
  • Incoming mail server: mail.domain.com (using your actual domain name)
  • Incoming Server settings POP Port: 995
  • Username: Full email address
  • Password: mail account password
  • Select SSL/TLS Settings
  • Outgoing mail server: mail.domain.com (using your actual domain name)
  • Outgoing mail server: SMTP Port: 465
  • Username: Full email address
  • Password: mail account password
  • Select SSL/TLS Settings

Settings For iPhones

To set up your e-mail account on your iPhone, please follow any instructions/videos for your particular device.   However, please note that we have found that, even if the fields are marked ‘Optional’, you should input the information.
